OneDrive - How to Upload Files and Share Them
This guide demonstrates how to upload files to OneDrive and share them with others. You'll learn how to use both the web interface and desktop application for uploading files, and how to control sharing permissions when collaborating with colleagues.
Uploading Files to OneDrive
Method 1: Uploading via the Web Browser
- Sign in to your Microsoft account at https://onedrive.live.com
- Navigate to the folder where you want to upload files
- Click the Add new button at the top of the page
- Select either "Files upload" or "Folder upload" depending on what you want to upload
- Browse your computer and select the file(s) or folder you wish to upload
- Click Open to begin the upload process
You can also upload files by dragging and dropping them from your computer directly into the OneDrive browser window.
Method 2: Using the OneDrive Desktop Application
Setting Up OneDrive Desktop (First-Time Users)
- If you haven't already installed the OneDrive application, download it from Microsoft's website
- Install the application by following the on-screen instructions
- When prompted, sign in with your Microsoft account credentials
- Choose which folders you want to sync with your computer
Uploading Files Using the OneDrive Folder
- Open File Explorer (Windows) or Finder (Mac)
- Navigate to the OneDrive folder on your computer
- Copy or move files into this folder
- Files will automatically sync to your OneDrive cloud storage
Sharing Files from OneDrive
Sharing via Web Browser
- Sign in to OneDrive at https://onedrive.live.com
- Locate the file or folder you want to share
- Select the item by clicking the circle check mark that appears when you hover over it, or right-click on the item
- Click the Share button in the top menu
- In the sharing panel that appears, you can:
- Enter email addresses of people you want to share with
- Set permissions by clicking the gear icon next to "copy link":
- "People in your organization" - restricts access to people in your organization
- "Only people with existing access" - creates a link only for people who already have access
- "People you choose" - restricts access to only the email addresses you specify
- Toggle whether recipients can edit the file or only view it
- Set an expiration date for the link (optional)
- Set a password for the link (optional, available on some accounts)
- Type a message to include with your share invitation (optional)
- Click Send if you've entered email addresses, or Copy Link to get a shareable link
Sharing via OneDrive Desktop Application
- Open File Explorer (Windows) or Finder (Mac)
- Navigate to your OneDrive folder
- Right-click on the file or folder you want to share
- Select Share from the context menu, or select OneDrive > Share
- The sharing options will appear, similar to the web browser method described above
Managing Shared Files
Viewing Files You've Shared
- Sign in to OneDrive
- Click Shared in the left navigation pane
- Select Shared by me to see all items you've shared with others
Changing Sharing Permissions
- Locate the shared file or folder
- Right-click the item and select Manage access
- You can now:
- Change permissions for existing users by clicking the permission level dropdown
- Remove users' access by clicking the X next to their name
- Stop sharing completely by clicking Stop sharing
- Create new sharing links with different permissions
