Blackboard Ultra (Faculty) - My Content: Share a File by Creating a Pass

This article explains how to share a file stored in Blackboard Ultra's My Content area by creating a public link.

Sharing a File with a Pass in My Content

Passes are used to share a file with a user for a specific amount of time. Passes are useful for sharing files with users who don't have system accounts. When you create a pass, you choose whether to grant read or read and write permission to the file with the pass. When the time allotted for the pass is over, the user will no longer be able to access the file.

Steps to Create a Pass for a File

  1. Navigate and log into bb.siue.edu
  2. In the left-hand navigation menu, click Tools.

  3. On the Tools page, click Content Collection.
  4. Locate the file you wish to share.
  5. Click the arrow next to the file name to reveal a drop-down menu.
  6. Select Passes from the menu. (If you do not have any passes on that item yet, it will also be labeld "(None)".

    The drop-down menu next to the file name reveals "Passes" as the sixth item listed.

  7. The Pass panel, which lists any current passes on the item, will open.
  8. To create a new pass, click the Create Pass button.

    Above the list of current passes is a button labeled "Create Pass".

  9. The Create Pass panel will open. Here you can adjust the following settings: 
    • Set Pass Expiration: Determine the lifetime of pass or set no expiration date on the resource.
    • Select Permissions: Use the drop-down menu to allow users to read, read/write, or read/write/delete this resource.
  10. Click Submit.
  11. A shareable link will be generated. Copy the link and share it with the desired individuals.

    The link to the pass is listed next to the resource and its read/write/delete permissions.

Emailing an Existing Pass

  1. Navigate to the Content Collection.
  2. Hover over a pass, click the down arrow, and select "Email Pass" from the drop-down menu.
  3. On the Email Passes panel, fill in the desired fields in the message details.
  4. Click Submit to send the email.

Managing Existing Passes

You can manage existing passes by following these steps:

  1. Navigate to your Blackboard Ultra course.
  2. In the left-hand navigation menu, Tools.
  3. Select Content Collection.
  4. Locate the file for which you want to manage passes.
  5. Click the down arrow next to the Resource name.
  6. Hover over the pass to share and click the down arrow. from the menu.
  7. The drop-down menu reveals two options:
    • Email Pass. 
    • Delete the pass.

Considerations

  • Anyone with the link will be able to access the file until the pass expires or is disabled/deleted.
  • Be mindful of the content you are sharing and ensure it complies with copyright regulations and university policies.
