Outlook Web App - Email Forwarding and Rules

Configure automatic email forwarding or create inbox rules to redirect messages in Outlook Web App (Office 365).

Automatic Forwarding

This setting forwards all incoming emails to a single alternate email address. This is the simplest method for redirecting mail.

  1. Log in to Outlook at outlook.office365.com.
  2. Click the Settings (gear icon) in the top right corner.
  3. Select Mail > Forwarding.
  4. Select the Enable forwarding checkbox.
  5. Enter the destination email address in the text field.
  6. Recommended: Select the Keep a copy of forwarded messages checkbox. If this box is unchecked, messages will only be stored in the destination (forwarded‑to) account and will not remain in your SIUE inbox, which may result in non‑compliance with university data retention policies.
  7. Select Save to apply the changes.

Inbox Rules (Conditional Forwarding)

Inbox rules allow for more complex logic, such as forwarding only specific emails or sending copies to multiple addresses.

  1. Log in to Outlook at outlook.office365.com.
  2. Click the Settings (gear icon) in the top right corner.
  3. Select Mail > Inbox rules.
  4. Click Add new rule.
  5. Complete the rule configuration fields:
    • Name your rule: Enter a descriptive name (e.g., "Forward to Personal").
    • Add a condition: Select Apply to all messages to forward everything, or choose specific criteria (e.g., "From", "Subject includes").
    • Add an action: Select Forward to.
  6. Enter the destination email address. Ensure you click the generic user prompt or Use this address that appears below the text field to confirm the entry. You may add multiple addresses here.
  7. Click Save to create the rule.

Note: If the toggle slider next to the rule is blue (or highlighted), the rule is Active. Click the toggle to disable the rule without deleting it.
