Add Closed Captioning/Subtitles to a Video

When adding video content, the instructor or person uploading the video is responsible for making it accessible with captioning. This article explains how to add captioning using YouTube for free. Faculty or departments may consider using a captioning service, such as 3Play Media, to have captioning done off campus. Contact 3Play Media for more information.

  • Step 1 - Login to YouTube or Create a New Account
    • You must have a Google Account to sign in to YouTube.  If you don't have an existing Google Account, create one using these instructions:

      1.  Navigate to YouTube.com.

      2.  Click Sign In near the top right of your screen.

      3.  Click Create Account.

      4.  Fill in the account information form to create your Google Account and click Next Step.

      5.  When you have successfully created a new account, you will see a welcome page.  Click Continue on that page to return to YouTube as a signed in user.

  • Step 2 - Upload a Video to YouTube
    • Click the plus sign below to expand the menus for directions. 

      • Step 1 - Login to YouTube or Create a New Account
        • You must have a Google Account to sign in to YouTube.  If you don't have an existing Google Account, create one using these instructions:

          1.  Navigate to YouTube.com.

          2.  Click Sign In near the top right of your screen.

          4.  Fill in the account information form to create your Google Account and click Next Step.

          5.  When you have successfully created a new account, you will see a welcome page.  Click Continue on that page to return to YouTube as a signed in user.

      2.  Once logged in, click My Channel in the left navigation.

      3.  If you have not yet created a channel, you will have to agree to the terms of service on this screen.  If you have already created a channel and don't see this screen, skip to step 5.

      4.  Click upload a video.

      5.  To upload videos after you have created a channel, login to YouTube and click the upload icon in the top right corner:

      6.  Browse your computer to find the video you would like to upload.  Depending on how large your video file is, this could take a few minutes.  While it is uploading, you can customize your video settings.

      7.  Change privacy:

      • Public videos and playlists can be seen by and shared with anyone.
      • Private videos and playlists can only be seen by you and the users you choose.
      • Unlisted videos and playlists can be seen and shared by anyone with the link.

      8.  Add the video to a playlist.  *TIP:  Create different playlists for different content (CE, Internal, etc.) and upload your videos to the different playlists/categories.  This way, you can share the link to the entire playlist with your audience so they can view all videos in that playlist.  You can also add and remove videos as needed and the audience will always have the most up-to-date information.  Otherwise, you will need to share individual video URLs with your recipients and if you decide to remove a video, the link will no longer be active.  Newly added video URLs will also need to be distributed as they are added.

      9.  Configure default upload settings:

      10.  Click the Advanced Settings tab to view more settings:

      11.  Once your video is uploaded and settings saved, you will see your list of videos on your Video Manager page.  From here, you can manage your uploaded video by clicking the Edit drop down:

3.  Navigate to your Video Manager dashboard in YouTube by clicking My Channel in the left navigation then clicking Video Manager:

4.  Click the Edit drop down next to the video to which you would like to add captioning and click Subtitles/CC:

5.  Set your language and when the video opens, click Add new subtitles or CC and click on the language of your choice.  *Note:  If automatic captions are available, they'll automatically be published on the video. Automatic captions may not be ready at the time that you upload a video. Processing time depends on the complexity of the video's audio.  If automatic captions are available, you'll see Language (Automatic) in the "Published" section to the right of the video.  Give YouTube a few hours (up to a day) to auto-caption your video.

If your video doesn't generate automatic captions, it could be due to one or more of the following reasons:

  • The captions aren't available yet due to processing complex audio in the video.
  • The language in the video is not yet supported by automatic captions.
  • The video is too long.
  • The video has poor sound quality or contains speech that YouTube doesn't recognize.
  • There is a long period of silence at the beginning of the video.
  • There are multiple speakers whose speech overlaps.

6.  To manually add captions, click the language of your choice in the Add new subtitles or CC drop down as shown here:
